Charge a tenant for utilities or a late fee

Bill a tenant for something beyond rent, attach the bill, and record the payment when it comes in.

Rent covers the month. Everything else a tenant owes you, like a water bill you pay and pass on or a late fee your lease allows, goes in as a charge. Your tenant sees it in their portal, and you record the payment when it arrives.

Add a charge

  1. Open Properties, pick the property, then pick the unit.
  2. In the Charges card, tap Add a charge.
  3. Choose the type: Utilities, Late fee, or Other.
  4. Enter the amount, what it's for (like "Water bill, September"), and the due date. The due date starts two weeks out; change it to whatever you agreed on.
  5. Optional: attach a photo or PDF of the bill so your tenant can see exactly what they're paying for.
  6. Tap Add charge.

The charge goes on the unit's current lease. If the lease has already ended, it goes on the most recent one, which is handy for a final bill after move-out.

What your tenant sees

Next time your tenant opens their portal, they'll see an Other charges section with what they owe, each charge's due date and status, and a View bill link if you attached one. There's no pay button: they pay you the way they already do, and you mark it paid.

Record a payment

When the money comes in:

  1. Find the charge in the unit's Charges card and tap Record payment.
  2. The amount starts at what's still owed. Change it if they paid part of it.
  3. Pick the date you received it and tap Record payment.

Partial payments are fine. The charge shows Partly paid with the amount left, and you can record the rest later. You can't record more than what's still owed.

Statuses

  • Open: added, nothing paid yet, not past due.
  • Partly paid: some money recorded, some still owed.
  • Overdue: the due date has passed and something is still owed. Overdue charges also show up under Needs attention on your dashboard.
  • Paid: fully paid.
  • Voided: canceled. Voided charges drop off your tenant's list.

All open charges across your properties are listed on the Money page under Other charges owed.

Fix a mistake

If you added a charge by mistake, tap Void on it. You can only void a charge that has no payment recorded against it, because a recorded payment is already in your books.

How it shows up in your books

A charge isn't income until it's paid. When you record a payment, it goes into your ledger on that date: late fees as late fee income, and utilities and other charges as other income. Both count toward rents received in your tax-season summary and are included in your data export.
